What is an AI agent? A guide for Mallorca business owners

If you've read anything about AI in the last twelve months, you've probably seen the phrase "AI agents" a lot. The definitions in most articles are either too vague to be useful or too technical to matter to anyone running a real business. Here's what an AI agent actually is, in plain language, and what it means for a small business in Mallorca.

The short version

An AI agent is a piece of software that uses a language model (like Claude or ChatGPT) to complete a specific task without a human clicking through every step. You give it a job with clear boundaries, and it does it. That's it.

The distinction that matters is between an AI tool and an AI agent. A tool waits for you to ask it something. An agent is set up to do something on its own, on a schedule or when a trigger fires, and only comes to you if it hits something outside its remit.

Concretely: ChatGPT answering a question when you type into the box is a tool. A system that watches your website's contact form, replies to every enquiry within seconds in your business's voice, qualifies whether it's a real lead, and books calls into your calendar without a human touching it, is an agent.

Why this matters for a small business in Mallorca

Most articles about AI agents are written for enterprise buyers or software developers. The examples are always about "orchestrating multi-agent workflows across the tech stack," which means very little if you run a physical therapy practice in Palma or a small consulting firm in Sóller.

For a small business, the practical value of an AI agent is much simpler. It's a way to have a specific job done consistently, 24 hours a day, in your voice, without hiring someone. The jobs it's best at are the ones you're either currently doing yourself late at night or losing money by not doing at all.

An AI agent is not a robot that replaces your team. It's a member of staff that only does one thing, but does it every hour of every day without getting tired.

What an AI agent actually does day-to-day

The clearest way to understand it is by example. Here are three jobs that AI agents genuinely do well for small businesses, based on the systems we build for real clients and the ones we run inside Viacala itself:

1. First response to enquiries

Someone hits your website contact form at 9pm on a Tuesday. Instead of the enquiry sitting in your inbox until Wednesday morning, an AI agent reads what they wrote, replies in your voice within seconds, asks the qualifying questions you'd normally ask on a first call, and books the call straight into your calendar if they're a fit. What an AI agent isn't

The word "agent" gets used loosely, so here are the honest limits:

It isn't autonomous. An AI agent works well because its job is scoped narrowly. Ask it to "grow the business" and it will fail, or worse, do something surprising. Every real-world AI agent has clear boundaries and a human escalation path for anything outside them.

It isn't always right. Language models occasionally hallucinate. Well-built agents check their own output, defer to a human when confidence is low, and log everything so you can audit. Anything customer-facing has a human in the loop by design, not by accident.

It isn't a replacement for judgement. Decisions about who to fire, which client to take on, or how to price a bespoke deal are not agent jobs. Those are always yours.

The European context, briefly

For a business in Mallorca (or anywhere else in the EU), two things matter:

The EU AI Act. Simple AI agents doing what we just described (customer replies, follow-up, chat) sit firmly in the "limited risk" or "minimal risk" tiers of the EU AI Act, where the requirements are light. The rules get strict for high-risk use cases like automated hiring or biometric ID, which most small businesses don't touch. GDPR. Where your customer data physically lives matters. AI agents built on top of US-based consumer AI tools can send European customer data across the Atlantic, which puts the compliance burden on you. AI agents built on European infrastructure keep the data in the EU. This is a choice made when the agent is built, not something you can retrofit later.

Where a Mallorca business would actually start

If you're a small business owner in Mallorca considering an AI agent for the first time, the strongest starting point is almost always speed to lead. Instant reply to enquiries, qualified and booked into your calendar. It's the smallest scope, the fastest to install, and typically the highest immediate return.

The reason it wins over more complex first projects is straightforward. It's easy to see whether it's working (are calls being booked overnight?), easy to measure (revenue from responses that would otherwise have gone cold), and easy to expand from once it's proven (add follow-up automation next, then routine question-answering, etc.).

What we'd recommend against as a first project: anything open-ended ("build me an AI that runs the business"), anything that requires custom training data, or anything that replaces a whole function rather than a specific repetitive task.

The honest summary

An AI agent, for a small business, is a specific tool for a specific job that runs on its own. It works best when it's narrow. It fails when it's asked to do everything. And it's genuinely useful if you point it at the two or three repetitive things eating your time right now.
